This policy explains how Virtual Labs, Inc. (“Virtual Labs,” “we,” “us”) collects and uses personal information when you visit virtuallabs.ai (the “Site”), contact us, book a meeting with us, or use invitation-only pages on the Site.
This policy covers the Site only. Virtual Labs products and services provided under a customer agreement are governed by that agreement and its data processing terms.

We use this to control access, keep these pages secure, and understand which materials invitees find useful.
When you visit any page, our hosting provider processes your IP address, browser type, and request details to deliver the page and protect the Site from abuse. We use IP addresses to limit repeated form submissions and block spam.
We also keep our own first-party statistics about how the Site is used. For each page you view, we record the page, the site that referred you (without its query string), any campaign tags in the link (for example, utm_source), your IP address, an approximate location (city, region, country) derived from that IP address, the time, and how long the page was visible in your browser. A cookie (vlabs_vid, see Section 7) lets us recognize repeat visits from the same browser, and we note the device type and browser family. If you sign in to invitation-only pages, these records are linked to your invitee account. We determine approximate location on our own servers using the DB-IP database; your IP address is not sent to a third party for this. Please do not send us sensitive information, such as health information, through the Site.
Where we rely on legitimate interests, you can object at any time (Section 9). We do not sell your personal information, and we do not use it for automated decisions with legal or similarly significant effects on you.
We share personal information only with service providers that process it for us under written contracts, and only as needed:
We may also disclose information if the law requires it, to protect rights and safety, or as part of a merger, acquisition, or sale of assets, subject to confidentiality protections.
We are based in the United States, and our providers process data there. When we receive personal information from the European Economic Area, the United Kingdom, or Switzerland, we rely on the European Commission’s Standard Contractual Clauses (with the UK Addendum where applicable) or on the recipient’s certification under the EU–U.S. Data Privacy Framework and its UK and Swiss extensions.
We may keep information longer if the law requires it or to resolve a dispute.
We do not use advertising cookies, and the Site loads no third-party tracking scripts. We use the following:
vlabs_vid (cookie) is a random identifier that lets us count repeat visits to the Site and measure time spent on pages (Section 2). It lasts 13 months. We do not set it if your browser sends a Global Privacy Control (GPC) signal, and we then record no page-view statistics for you.vlabs_session (cookie) keeps invitees signed in to invitation-only pages. It lasts 8 hours by default, and up to 12 months for long-term invitees.vlabs_admin (cookie) keeps Virtual Labs staff signed in to the administration area. It lasts 24 hours.vlMailPref (browser storage, not a cookie) remembers which email app you chose when you clicked an email link. It stays on your device and is never sent to us.We treat a Global Privacy Control (GPC) browser signal as a refusal of non-essential cookies and Site usage statistics. Sites we link to, such as Calendly, have their own cookie policies.
We protect personal information with encrypted connections (HTTPS), secure sign-in cookies, hashed and short-lived sign-in codes, access controls on administrative functions, and rate limiting. No system is perfectly secure. If a breach affects your personal information, we will notify you and the relevant authorities as the law requires.

EU and UK residents may also complain to their local data protection authority (in the UK, the Information Commissioner’s Office). We would appreciate the chance to resolve your concern first.
California residents. In the past 12 months we have collected identifiers (name, email address, IP address), professional information (organization, role), and internet activity (pages viewed on invitation-only pages). We collect them for the purposes in Section 3 and disclose them only to the service providers in Section 4. We do not sell or share personal information for cross-context behavioral advertising. You have the rights to know, delete, and correct your information, and not to be discriminated against for exercising them. You may use an authorized agent.
Other US states, including Texas, give residents similar rights, and we honor requests on the same basis.
To make a request, email info [at] virtuallabs [dot] ai. We may need to verify your identity, normally by confirming you control the email address involved. We respond within one month (EU/UK) or 45 days (California), and will tell you if we need longer as the law permits.
The Site is intended for professionals and is not directed to anyone under 16. We do not knowingly collect information from children. If you believe we have, contact us and we will delete it.
We will post changes on this page and update the effective date. If a change is material, we will give notice on the Site and, where we have your email and the law requires it, by email.
